Managers Guide - How to Terminate a Team Member

Overview

This guide refers to all types of team members: permanent, fixed term/temporary, and casual.

NB: Fixed term team members should already have a planned termination date in Pay Global that matches the end date in their contract, however you will still need to complete the Cessation/Termination form in My Pay (you will receive a reminder that their contract is coming to an end so this would be a good time to put their Cessation/Termination through My Pay). 

How to Terminate a Team Member

If a team member has handed in their resignation, you will need to let payroll know as soon as possible so that they can calcuate their final  pay.

To do this, you will need to complete the Cessation form on My Pay and enter all the team members details. This will notify payroll. Please refer to "My Pay User Guide for Managers - Cessation/Termination" for detailed information on how to complete this.

Once you have done this,  please go onto icRED and complete the "Start Here, Go Anywhere" section as this will let the People Support Coordinators know that this team member is leaving. They will then be able to send them a link to an exit survey and arrange an exit interview if the team member would like to have one.  


FAQ's 

What happens if I need to change a team member's end date?
You will need to login to My Pay and put the Cessation/Termination form through again. This will override the  previous form you submitted. Please make sure that this is done as soon as you are aware the date needs to be changed to allow payroll enough time to process the final payment. Alternatively please email payroll to update this. 

I have a casual team member that I would like to take off the books, what do I do?
You will need to have a conversation with the team member thanking them for their help and letting them know that you will no longer be in need of their assistance. You can issue them with the attached letter as confirmation. Once this has been done you can process their Cessation/Termination through My Pay. 

How do I arrange an exit interview? 
You can either contact Ask People Support to arrange this or complete the "Start Here, Go Anywhere" section on icRED as above. 

My team member would like a certificate service, how do I arrange this?
Please email Ask People Support and the team will prepare this for you and send it to the team member. 

What do I do if I have processed a termination for a team member but they have changed their mind about leaving?
Have a conversation with the team member to understand their reasons for wanting to withdraw their resignation. Discuss the options with them and whether you will be able to re-instate them. Contact Ask People Support as soon as possible to help with getting the termination reversed.
