Sick/Domestic Leave

After you have worked for us continuously for three months you will get a sick leave balance of 8 days to use during the next 12 months and each following 12 months. Sick leave can be used when a Team Member is sick or injured, or when the Team Member's spouse or a dependent person (such as a child or elderly parent) is sick or injured and needs care.

FAQ's

Can I accumulate sick leave?

If you haven't used all your sick leave in one year then you can carry over any unused leave with no cut-off point. We don't pay out unused sick leave when you leave our employment.

What is the rate of payment for sick leave?

When you take sick leave you will be paid your relevant daily pay for the number of hours that you normally work on that day.

How much notice do I need to give if I am taking sick leave?

When you are sick you must call your manager as soon as you can on the first day you are away and let us know when you are likely to return to work. If you cannot contact your manager, you must try to contact the next member of management. Text messages or calls to other team members are not acceptable unless your managers are not contactable.

How can I apply for sick leave?

You can apply for sick leave by logging into MyPay, selecting 'My Leave' from the menu on the left hand side, clicking on the 'New Request' tab, and submitting a request for sick leave.
If you are in a store, you would need to call your manager and your manager will load your sick leave into daily view. On your return, check with your manager if you need to fill out a leave/holiday form.

When do I need to present a medical certificate?

You may need to show us proof that you were sick or injured e.g. a medical certificate at your expense, if you have been away for 3 or more consecutive calendar days, regardless of whether they were working days for you.
Where the illness is for less than 3 days, you may be asked for a medical certificate (to be provided within three days of request) but we will bear the cost of this.

What is the process for extended illness?

Serious illness will be dealt with as a separate issue under the Wellness Support Programme. Details are set out in The Warehouse Way.

What is the sick leave is on a public holiday?

If a Team Member is sick on a public holiday that they agreed to work, they will be paid ordinary time sick pay, but not T1.5 or be eligible for an alternate holiday.

What if the team member does not have sufficient sick leave available?

If the Team Member does not have sufficient sick leave available, the manager may liaise with them and either:-
  • Submit the leave as unpaid sick leave

  • Advise the Team Member they have the option of using their annual leave (if available) for the time taken. The Team Member must request this.


Discretionary Sick Leave - for permanent team members

If you have been employed with us for at least three months and have used all your primary sick leave, you can ask your manager for discretionary sick leave of up to 7 days per year.

Discretionary sick leave can be requested :

  • If time off work is required because of a short-term medical or surgical condition; for example, flu, appendicitis.
  • If time off work is required because of a non-work ACC injury (first week only).  (Please note that Discretionary Sick Leave cannot be used to “top up” non-work or work-related ACC payments of 80% of earnings.)
  • If time off work is required for the recurrence of a previously diagnosed condition for which long-term sick leave assistance has been received; for example, heart problems, cancer, and multiple sclerosis.
  • If your spouse/partner is sick or injured and you are unable to come to work because the spouse/partner is dependent on you for care.
  • If another person is sick or injured and you are unable to come to work because that person is dependent on you for care (for example, a child).
Where you can you must ask for this leave before you are away so that we can make sure adequate cover is in place if needed  You will need to tell us the reason you need to be away and, where you can, when you are likely to return.

If you can’t let us know in beforehand then you must tell your manager as soon as possible before you would have started work.Your manager will decide when Discretionary Sick Leave will be given and they may need to ask for supporting information about the reasons for the absence  eg. a medical certificate. If you feel uncomfortable giving personal or sensitive information to your manager, this may be given in confidence to Employment Relations.

If your manager declines your request for Discretionary sick leave and you believe it meets the guidelines, you can refer it to your Regional Manager whose decision will be final. If you are eligible to request Discretionary Sick Leave, this would normally be approved unless the manager has reason to believe that the request may not be genuine.  Usually your manager will ask for more information before making that decision.

All primary sick leave MUST be used before discretionary sick leave can be considered. Primary and discretionary sick leave cannot be granted in advance of entitlement.
